Privacy Policy

How we collect, use, and protect your data.

Last Updated: May 24, 2026

Art Vault helps collectors catalog artworks, manage private collection records, and choose what to publish to the public archive. This Privacy Policy explains what we collect, how we use it, and the choices you have when using the Art Vault website, application, and related services.

1. Information We Collect

We collect account information you provide or authorize through sign-in, such as your name, email address, profile image, authentication identifiers, and basic account preferences. We also collect collection information you add to Art Vault, including artwork images, titles, artist names, years, dimensions, medium, edition details, notes, provenance entries, visibility settings, and related metadata.

We also collect information you submit through support, contact, newsletter, or similar forms, including your email address and message details.

If you use paid membership features, payment details are handled by our payment processor. We may receive limited billing information such as your subscription status, customer identifier, plan, and transaction events, but we do not store full card numbers.

We automatically collect limited technical information, including device and browser details, IP address, pages viewed, referring pages, approximate location derived from technical data, cookies or similar identifiers, and logs needed to keep the Service secure and reliable.

2. How We Use Information

We use information to create and secure accounts, store and display collection records, process uploads, provide search and discovery, operate public artwork pages, respond to support requests, send requested updates, manage memberships, prevent abuse, debug issues, understand product performance, and comply with legal obligations.

We may use aggregated or de-identified information to improve Art Vault, understand collection and discovery trends, and measure the health of the Service. We do not sell your personal information.

3. Private and Public Collection Records

Artwork records are private by default unless you or an authorized account user choose to make them public. Private records are used to provide the Service to you and are not intentionally displayed to other users.

Public records, including public artwork images and metadata, can be viewed by other users and visitors, indexed in search, shared through links, and used to promote or operate Art Vault. Please only publish artwork information and images that you have the right to share.

4. Service Providers

We rely on trusted service providers to host the application, store images and data, authenticate users, process payments, deliver email, monitor errors, analyze usage, and protect the Service. These providers may process information on our behalf and are expected to use it only for the services they provide to us.

5. Cookies and Analytics

Art Vault may use cookies, local storage, and similar technologies to keep you signed in, remember preferences, measure traffic, understand feature usage, and protect against fraud or abuse. You can control cookies through your browser settings, but some parts of the Service may not work properly without them.

6. Sharing and Disclosure

We share information when needed to operate the Service, when you make content public, when you direct us to share it, when required by law or legal process, to protect the rights and safety of Art Vault and others, or as part of a merger, acquisition, financing, or sale of assets.

7. Retention and Deletion

We keep information for as long as needed to provide the Service, maintain business records, resolve disputes, enforce agreements, and meet legal obligations. You may request account deletion by contacting us. Deleting an account may remove private collection data, but public records, backups, logs, payment records, and information we must retain for legitimate or legal reasons may persist for a limited period.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service is completely secure, so you should use a strong sign-in method, protect your account, and contact us if you believe your account or collection data has been accessed without permission.

9. Your Choices

You can update account settings, edit or delete collection records, change artwork visibility, and choose what you publish. Depending on where you live, you may have additional rights to access, correct, delete, export, or object to certain processing of your personal information.

10. Children

Art Vault is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to Art Vault, please contact us so we can take appropriate action.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the date above and, when appropriate, provide additional notice. Your continued use of Art Vault after an update means the revised policy applies to your use of the Service.
